Field service
fuel surcharge calculator

HVAC, plumbing, electrical and pest control techs drive all day, often in heavy, fully stocked vans. Fuel rarely shows up as its own line on the invoice, so when it spikes the cost comes straight out of your margin on every call. See what it adds per service call.

(What drives the cost)

Where the fuel goes in field service (hvac, plumbing, pest).

  1. 01Fully stocked service vans with low fuel economy.
  2. 02Drive time between calls across a wide service territory.
  3. 03Supply-house runs and return visits for parts.
  4. 04Idling on job sites to run tools or keep vans climate-controlled.

(Pricing it)

How to add a surcharge customers accept.

01

Fold it into the dispatch or trip fee

Most field service companies already charge a dispatch or diagnostic fee. Adjusting it by the calculated amount is cleaner than a new fuel line.

02

Update your flat-rate book

If you use flat-rate pricing, recalculate it with the higher fuel cost per call so every task carries its share.

03

Handle maintenance agreements separately

Service agreements renew on a schedule. Apply the change at renewal with written notice rather than mid-term.

Subject: A small fuel surcharge on upcoming service calls

Hi [Customer name],

Fuel prices have risen sharply, and fuel is one of the biggest costs of every service call we do for you. Rather than raise our base prices, we're adding a temporary fuel surcharge of $2.39 per service call, starting [date].

This covers only the added fuel cost — nothing more. We'll review it regularly and reduce or remove it when fuel prices come back down.

Thank you for your business. If you have any questions, just reply to this message.

(FAQ)

Field Service (HVAC, Plumbing, Pest) fuel surcharge questions

01Should HVAC or plumbing companies charge a fuel surcharge?

Some add a small fuel line during spikes; many raise the trip or dispatch fee instead. Either way, base it on your real extra cost per call, which the calculator shows.

02How do I calculate fuel cost per service call?

Take monthly fuel spend across all vans, divide by the price per gallon to get gallons, then use the calculator to spread the price increase across your monthly calls.

03Does this work for pest control routes?

Yes. For route-based pest control, enter monthly stops as the job count. The per-stop amount is usually small, so a periodic price review may fit better than a per-visit fee.
